Use the Marketing section

Give someone the Marketer role, open the Marketing view on the Dashboard, connect the accounts marketing publishes through, and know what a marketer can change.

The Marketing view on the Dashboard is where your organization follows its marketing: what it spends, and what waits for review. This page shows how to give a teammate the Marketer role, how to open the view, how to connect the accounts marketing publishes through, and what a marketer can change today.

Before you start

Marketing is not turned on for every organization yet. If you do not see Marketing in the menu or the Marketer role in Settings, Members, it is not available to your organization. Only an owner or an admin can change a person's organization role.

Give someone the Marketer role

Open Settings.

Select Members.

Search for the person by name or email.

Select the settings icon at the end of that person's row.

Under Organization role, choose Marketer.

Select Save changes. The person's row now shows Marketer.

To invite someone new as a marketer, select Invite member on the same page and choose Marketer as their organization role.

Open the Marketing view

Open Dashboard.

In the list of views, select Marketing. On a phone, select the group's name at the top first, then choose Marketing.

Until marketing is set up for your organization, the view says Marketing is not set up yet. Markets, plans and spend show there once it is.

See what is scheduled and what it looks like

In Marketing, the tabs at the top switch between Board, Calendar and Creatives for the selected market and month. On the Board and Creatives, Search items finds an item by its code, channel or format, and More opens the month's Caps and the Brand. Selecting any item opens it in a panel over the page; close it to come back where you were.

  • Calendar is the same calendar as Calls and Customers. Choose Month, Week or Day from the menu at the top, move with the arrows or the small calendar on the side, and use Today to come back. Each item sits at its scheduled time in the market's time zone, with its channel, code and status, and its picture when there is room. The side panel filters by status, lists the items not scheduled yet, and shows holiday calendars. Drag a draft to another day or time in its own month to reschedule it, and choose Undo in the message to put it back. Only drafts move. A draft with no time sits in the side panel under Not scheduled yet: open it and set its Publish time, or set the date and time when you create the item.
  • Creatives shows each item as it will appear on its platform, week by week. Every tile is the same size: the picture keeps the platform's shape inside it, with the shape named under it (for example 9:16 or 1.91:1), then the channel, the status, the code, the time and the start of the caption in the market's main language. Ads are marked Sponsored. The filters at the top narrow by status, channel, and organic or paid, and each shows how many items it would leave; select a highlighted filter again to clear it. Select a tile to read the full caption and see the creative at full size.

To send a post back, an owner or admin opens an item that is in review and chooses Request changes with a reason; it returns to its author as a draft, and the author sees your reason and name on the item and a marker on its Board card until they submit it again. Kill item stops an item for good and asks you to confirm first. If an approved item could not be sent, its card on the Board says Not yet sent and its panel gives the reason; an owner or admin can choose Retry send once the cause is fixed. If someone else changed an item while you had it open (for example killed it), your action is refused and the panel reloads to show its real status. Pause on a channel stops what is scheduled or built there, in every open month; drafts and items in review are not touched, and a stopped item is not brought back, so create it again under a new code. New item offers organic posts only, because a paid ad is a campaign.

On an item's page, Creative shows its picture. While the item is a draft or in review, choose Upload to add or replace it. Once an item is approved its creative is fixed.

Connect an account

Marketing publishes through the social and ad accounts your organization connects. Only an owner or an admin can connect one.

Open Settings, then select Connectors under Marketing.

Select Connect on the platform, for example LinkedIn, X, Facebook Page or YouTube. The platform's own approval page opens. There is nothing to type in Prospero.

Approve on the platform. You come back to Connectors, which says Connected as and the account's name, and the account's row is highlighted.

If the approval reaches more than one account, such as several LinkedIn company pages or a Facebook Page with its Instagram account and an ad account, choose the ones marketing publishes through, then select Connect.

Each account shows its name, who connected it and when, and its state:

StateWhat to do
ConnectedNothing. Marketing can publish through it.
Needs reconnectThe platform stopped accepting the access. Select Reconnect and approve again.
DisconnectedSelect Reconnect to connect it again.

To stop publishing through an account, select Disconnect and confirm. Prospero forgets the account's access and asks the platform to withdraw it.

A platform listed under Needs app keys at the bottom of the page cannot be connected yet. Your Prospero administrator adds the platform's app keys to the server first.

What a marketer can and cannot change

A marketer works on marketing only. In the workspace they see Dashboard, and on it the Marketing view.

A marketer cannot change leads, routes or visit outcomes, cannot change settings or members, and cannot create API keys. More of the Marketing section opens to marketers as it arrives, and this page will say what each part lets them do.
